How do I create letters?
1. On the eSIS Main Start screen, click School > Design Letters on the menu bar.
2. The Letter Selection screen opens. Click the ADD button. A new row is inserted and the cursor defaults to the Letter Description field.
3. Enter the test name in the Letter Description field. Click the drop-down arrow in the Category Code column for the letter. Click the appropriate code.
Note: The Program column is not currently used in North Carolina.
4. Click the No. field for the added letter. Enter a unique number to identify the letter. To write a record to the student’s correspondence log, click the Log checkbox.
5. Click the Save button.

6. Click the new test name in the Letter Description column. Click the Select button.
7. Letter text and punctuation can be added and edited as needed on this screen. Click the location on the letter where a code should be added. Click the Codes button.
8. The Codes screen opens. There are two regions of codes: Student Symbols (student-specific data) and Application Symbols (non-student specific data). Double-click the appropriate code in the Code column.
Note: If you double-click the code, it is placed at the end of the letter regardless of cursor placement. Use copy and paste commands appropriate for your computer if you need to place the code anywhere but at the end of all other text in a letter. A PC user may position the cursor on the Letter Input screen, click the Codes button, highlight the code on the Codes screen, press CTRL + C on your keyboard, click the Ok button, and press CTRL + V to paste the code in the letter.
9. Click the Ok button to return to the Letter Input screen. Continue this process until all codes are added.
10. Click the Save button once the letter is complete. Click the Exit button.
How do I add a letter to the Incident Module?

In the drop-down for letter type, choose Suspension. This will make the letter available when you are on the Members Involved screen.

Below is a sample letter which you can use as a basis for a letter.

I regret that it has become necessary to assign your child a BUS SUSPENSION for &INCLEN days with the last day being &INCLDAY. &GIVEN can begin riding the bus on the following school day.

Description of the incident:
&INCNARR

You will need to provide alternate transportation for &GIVEN during the term of this suspension. You are urged to both appreciate the disciplinary action taken and to cooperate with the action initiated by the school administration. Bus riding is a privilege that may be revoked as a result of further occurrences.
